Australian businesses are facing a productivity challenge

Australian organisations are still dealing with skill shortages, labour constraints and rising pressure to get more output from the teams they already have. The Reserve Bank has reported that firms see access to suitable labour as one of the main barriers to improving productivity. Jobs and Skills Australia has also found that generative AI is more likely to augment jobs than replace them, and that adoption is still early and uneven across sectors.

AI’s real value lies in helping people work smarter

That is an important frame. In most businesses, the first value from AI is not replacing whole roles. It is helping people move through routine knowledge work faster: summarising information, drafting first versions, finding internal precedent, locating policies, extracting key points from long material and reducing time spent searching through messages, sites and documents. The RBA notes that many firms are currently using off-the-shelf AI products for discrete tasks such as summarising emails and undertaking research.

Bad information creates bad AI outcomes

However, augmentation only works when the underlying information is usable. If AI is drawing from stale documents, duplicate files, unmanaged sites or loose permissions, the result is often more noise, not less. Microsoft’s own deployment guidance says readiness should include identifying potentially overshared content, detecting inactive or ownerless sites, applying site lifecycle policies, archiving inactive content and adjusting sharing settings to prevent accidental oversharing.

Governance matters more than prompts

This is where many businesses miss the point. They focus on prompt training while leaving the information estate untouched. In reality, a worker asking AI for the current onboarding process, latest contract position or approved policy wording needs the system to draw from governed, current, permissioned content. Good governance improves the odds that AI is working from the right version in the right place.

Reduce friction before scaling AI

The better question for leadership teams is not how much AI can we roll out. It is where are our people losing time today? In many organisations, expensive human effort is still being absorbed by searching, checking, reworking and asking around for information that should already be easy to find. AI can reduce that drag, but only when the content behind it has been curated properly.
